Rules & Procedures
Class Etiquette
- Students should arrive before the lesson begins (go to the toilet before class)
- Students should wear appropriate clothing and footwear — no skirts or jeans
- No eating or chewing during class. Water only — no fizzy drinks
- No jewellery that is unsafe to dance with
- No photos / video recording from parents or observers for child protection without permission UDC staff have permission to film or take photos of students for marketing and company purposes.
- Parents and siblings are welcome to stay and watch as long as siblings are supervised and disruption is kept to a minimum
- UDC reserves the right to refuse participation in class if a student appears unwell or reports symptoms of illness

⚖️ Consequences of Breaking the Rules
- Minor problems will be dealt with within the class by reminding the child of the rules or task.
- A child could be asked to sit out as a consequence of persistent misbehaviour.
- In extreme incidents or a pattern of persistent misbehaviour, exclusion from the dance class may be necessary. Parents will be informed immediately and any monies paid in advance will be refunded.

Attendance & Dismissal
📅 Attendance Agreement
- Classes, rehearsals and performances attended regularly and on time; collected on time
- Dance Principal informed on the first day of any absence, as early as possible
- Principal/staff informed of any concerns regarding attendance, rehearsals or performances
- Principal made aware of any changes to contact or medical details
- Consent given for child to be photographed or filmed for UDC classes, events and marketing
🚶 Dismissal Consent
For your child to be dismissed to another adult other than yourself, or if you are happy for your child to walk home alone, please request a form and hand it to admin at the next session.
⚠️ Note: We do not take responsibility for a child once dismissed.
Withdrawing from UDC

📧 Notice Period
- An email from the parent is required when choosing to withdraw your child from Urban Dance City
- You must provide at least 2 weeks' notice before the end of the month of your intention to leave
- This will stop invoicing for the following month
- Your 2-week notice period begins once you have completed the online form

💳 How Payment Works
We've made it easy!
Living in the digital age we only accept payment by direct debit using payment provider GoCardless.
You will receive an email with an invoice for class fees from us at the beginning of every month to notify you that payment has been automatically collected. (You will need your bank account number and sort code for the first transaction, agreeing to automatic monthly payment collections by direct debit.) GoCardless will appear on your bank statement.
Please note we do not accept pay-as-you-go weekly cash, card or cheque payments.
Our focus is to deliver productive classes, encourage regular attendance to build class students' skills together and cut back on admin that can often distract from class lesson progress.
| Monthly Payments | Invoiced every month for 11 months in an academic year (Sept – July). Total classes per year (term time) = 38 classes. |

| Monthly Invoices | Emailed within the first week of every month for monthly class fees. |
| Annual Membership | Invoices for £28 annual membership are emailed on 1st August every year. New students will be billed when registered. |

| Late Payment Fee | £10 fee will be charged if a direct debit is bounced. |

👨👩👧👦 Sibling Discount
- We offer a dance school standard rate of 10% sibling discount for each sibling's monthly course fees — on request only
- Sibling discount does not apply for one-off payments such as holiday workshops/camps, uniform, excursions etc.

❌ Missed Classes / Class Cancellations
Refunds or credits are not permitted for such circumstances.
🚫 Cancel Monthly Invoices / Payments
As per terms & conditions, two weeks' notice must be given by completing this cancellation form. You will then stop receiving any more monthly invoices and your student name and contact will be removed from our register.
